The Safe Edit Rule: Duplicate, Edit, Test, Publish

January 10, 20261 min read

What’s happening

Clients often want to make quick changes to workflows, emails, or automation steps inside Gemini HQ.

This usually happens when a message needs updating, timing needs to change, or a step feels out of place. Editing live components can seem faster, but it is the most common reason automations stop behaving as expected.

Why this happens

Gemini HQ workflows are active systems.

When a live workflow is edited:

  • Contacts currently inside the workflow are affected immediately

  • Timing may reset or skip

  • Steps can fire out of order

  • Messages may send incorrectly or not at all

The platform is functioning as designed. The issue is editing live logic without testing changes first.

What to check before making changes

Always follow this rule:

Duplicate → Edit → Test → Publish

Before changing anything, confirm:

  • You duplicated the workflow or funnel

  • You are editing the duplicate, not the live version

  • You tested the change using a test contact

  • You confirmed the result before publishing

If you are unsure which version is live, stop and verify before proceeding.

What this does NOT mean

  • It does not mean you can’t customize your system

  • It does not mean workflows are fragile

  • It does not mean something is wrong with Gemini HQ

It means the platform is designed to protect live automation from accidental disruption.

When to contact Support

Contact Support if something is not functioning as intended within your plan’s defined scope.

Summary

Editing live automation is the fastest way to break a working system.

Duplicating first protects your data, your leads, and your results.
